Your data, handled with care.

This policy explains what personal data Ultria collects when you use ultria.co.uk, ask for a quote or work with us, why we need it, who we share it with and the choices you have. We keep it short and plain. If anything is unclear, just email us.

01Who we are

Ultria (formerly Easy Launch) is a design and technology studio. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), we are the controller of the personal data described in this policy.

  • Business: Cameron Davidson trading as Ultria (formerly Easy Launch), a sole trader based in Leeds, United Kingdom.
  • Address for legal notices: 10 Broadlands View, Leeds LS28 9GF, United Kingdom
  • Email: cam@ultria.co.uk
  • ICO registration number: ZC115655

02What we collect

When you ask for a quote or get in touch

Your name, email address and, if you choose to give them, your phone number, business name and any notes. Through the instant quote we also receive the options you picked and the estimate it produced. Through the “Send us a message” box we receive your message and the page you sent it from. If you email or call us, we keep that conversation.

While you build a quote

The quote tool saves your answers in your own browser so a refresh doesn't lose them. They stay on your device and are only sent to us if you press Submit quote request. They're cleared once you submit.

If you become a client

Contact and billing details, project files and content you send us, the communication history of your project, and invoice and payment records. If you share logins with us so we can do the work, we only use them for that work.

When you browse the site

  • Analytics, only if you agree: Google Analytics collects pages visited, how you arrived, approximate location, device and browser. It sets cookies, so it only runs once you accept analytics cookies. See the cookie policy.
  • Server logs: like every website, our server records basic technical details such as your IP address, browser and the page requested. We use these only to keep the site secure and working.

We don't collect special category data (such as health information), and we ask you not to send it to us.

03How we use it, and why we're allowed to

What we doLawful basis
Reply to your quote or enquiryTaking steps at your request before a contract, and our legitimate interest in answering people who contact us
Deliver and invoice the workPerforming our contract with you
Measure how the site is usedYour consent, which you can withdraw any time
Keep accounts and tax recordsLegal obligation
Keep the site secureOur legitimate interest in protecting the site and its visitors

We don't send marketing emails, we don't sell your data, and we don't use it for automated decisions about you. The instant quote works out a price from fixed rules, but a person always reviews it before anything is agreed.

04Who we share it with

Only with trusted services that help us run the business, each bound to protect your data and use it only for us:

  • Our hosting provider: runs the server this website lives on.
  • Our email provider: holds our inbox and the emails you send us, and sends the emails when you submit a quote (to us, plus your copy) or send us a message.
  • Google: Google Analytics, only if you accept analytics cookies.
  • The Ultria Portal: if you become a client, where we manage your requests, files and invoices.
  • Professional advisers: our accountant, or legal advisers if ever needed.

We'll also share data if the law requires it, for example with HMRC.

05Data outside the UK

Some of these providers, such as Google and our email provider, may process data in the United States or elsewhere outside the UK. When that happens, the transfer is protected by an approved safeguard, such as the UK–US Data Bridge, the UK International Data Transfer Agreement or standard contractual clauses with the UK Addendum.

06How long we keep it

  • Quotes and enquiries: up to 24 months after we last spoke, unless you become a client.
  • Client and project records: 6 years after our work together ends, as UK tax law requires.
  • Analytics data: 14 months, then Google deletes it automatically.
  • Server logs: a short period, normally no more than 90 days.
  • Quote answers saved in your browser: until you submit the quote or clear your browser data.

07Your rights

You have the right to:

  • get a copy of the personal data we hold about you
  • have it corrected if it's wrong, or deleted if we no longer need it
  • object to, or ask us to restrict, how we use it
  • receive it in a portable format
  • withdraw consent for analytics any time, using “Cookie settings” in the footer

Email cam@ultria.co.uk to use any of these. It's free, and we'll reply within one month.

08Keeping it safe

The site is served over an encrypted connection (HTTPS), access to our systems is protected by strong passwords and two-factor authentication where available, and we only keep what we need. If a breach ever put your data at risk, we'd tell you and the ICO as the law requires.

09Concerns and complaints

If you're unhappy with how we've handled your data, please tell us first at cam@ultria.co.uk and we'll put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

10Changes to this policy

We'll update this page if anything changes and show the new date at the top. Significant changes will be made clear on the site.
